RoNexus collects minimal data necessary to provide verification and rank-management services. We do not sell your data, serve ads, or share your information with third parties except as required to operate the service. This policy explains exactly what we store and why.
Overview
RoNexus ("we", "us", "our") operates a Discord bot and associated web services at ronexus.org. This Privacy Policy describes how we collect, use, store, and protect information obtained through your use of RoNexus services.
By using RoNexus — whether as a server administrator, a verified member, or a visitor to our website — you agree to the practices described in this policy.
Data We Collect
2.1 — Discord Data
- Discord User ID (snowflake) — used to identify you across servers
- Discord Server (Guild) ID — used to scope your data per server
- Discord Role IDs — used to apply and track rank progression
- Username and display name — used for logging and audit trails
2.2 — Roblox Data
- Roblox User ID — obtained via Roblox OAuth during verification
- Roblox Username — displayed on profiles and nicknames
- Group membership and rank data — fetched from Roblox's public API
- Account creation date — used for alt-detection risk scoring
- Badge count and friend count — used for risk assessment features
2.3 — Activity Data
- Points earned per server — tracked for rank progression
- Verification timestamp — recorded when you link your account
- Server audit log entries — stored per-server for admin review
2.4 — License & Payment Data
- License keys — stored to validate bot access per server
- Whop membership IDs — used to link purchases to servers
- Plan tier — stored to enforce feature limits
We do not collect passwords, payment card details, email addresses (unless you contact us directly), IP addresses, or any message content beyond anti-spam detection metadata.
How We Use Data
- To verify your Roblox identity and link it to your Discord account
- To assign Discord roles based on your Roblox group rank
- To track points and automate rank promotions within servers
- To provide background check and alt-detection features to server admins
- To generate server audit logs accessible only to administrators of that server
- To validate license subscriptions and enforce plan limits
- To improve service reliability and debug errors via server-side logs
We use your data only to operate and improve RoNexus. We do not use your data for advertising, profiling outside of the bot's features, or any purpose unrelated to the service.
Data Sharing
We do not sell, rent, or trade your personal data. Data is shared only in the following limited circumstances:
4.1 — Within Servers You Are In
Server administrators can view your verification status, Roblox username, points, and audit log entries via bot commands. This is inherent to the service and expected by all parties.
4.2 — Service Providers
- Railway — cloud hosting provider where our database and bot run
- Roblox — we query their public APIs to fetch group and profile data
- Whop — payment processor for license purchases
- Discord — the platform through which the bot operates
Each of these providers has their own privacy policies governing their use of data.
4.3 — Legal Requirements
We may disclose data if required to do so by law, court order, or to protect the rights, property, or safety of RoNexus, our users, or the public.
Storage & Security
All data is stored in a PostgreSQL database hosted on Railway infrastructure. Data is stored in the United States. We implement industry-standard security practices including:
- Encrypted connections to all databases (TLS)
- Environment variable separation for all credentials and secrets
- No plaintext storage of sensitive tokens
- Access limited to authorised RoNexus developers only
No system is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security of data transmitted over the internet or stored in our systems.
Data Retention
We retain data for as long as necessary to provide the service:
- Verification data — retained until you request deletion or the associated server removes RoNexus
- Points & rank data — retained per-server until the server removes the bot or requests deletion
- Global verification record — retained until you request deletion
- Audit logs — retained for up to 90 days per server
- License records — retained for billing and fraud prevention for up to 2 years after subscription ends
Your Rights
You have the following rights regarding your data:
- Access — request a copy of data we hold about you
- Correction — request correction of inaccurate data
- Deletion — request deletion of your data from our systems
- Portability — request your data in a portable format
- Objection — object to processing of your data in certain circumstances
To exercise any of these rights, contact us via our Discord Support Server. We will respond within 30 days.
Deleting your global verification record will mean you need to re-verify in each server. Server-specific data (points, ranks) must be deleted by that server's administrator or by contacting us directly.
Cookies
The RoNexus website (ronexus.org) does not use tracking cookies, advertising cookies, or any third-party analytics cookies. The only session state used is a temporary verification token passed via URL query parameter during the Roblox OAuth flow, which is discarded immediately after use.

We are not responsible for the privacy practices of these third parties.
Children's Privacy
RoNexus is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, please contact us immediately and we will delete it promptly.
Users under 13 must not use RoNexus. If you are under 13, please do not use this service.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. For significant changes, we will post an announcement in our Discord Support Server.
Continued use of RoNexus after changes are posted constitutes your acceptance of the revised policy.
